Greenbelt Alliance, the San Francisco Bay Area's leading non-profit advocate of smart growth planning and open space conservation, seeks an experienced candidate for the position of Director of Finance and Administration, based in our San Francisco office.
Position Summary:
Financial Management
The Director of Finance and Administration is responsible for oversight of all financial aspects of the organization. These include accounting, budgeting, financial reporting, annual audits, and strategic planning. Greenbelt Alliance is financially healthy, with strong systems in place, an endowment, long-term major donors, and a history of clean audits.
Budgeting - Manage annual Finance and Administrative workplan and budget development. Monitor and coordinate all program budgets. Produce monthly variance analysis report of projected versus actual income and expenditures.
Financial Management - Supervise Staff Accountant who transacts accounts payable and receivable. Oversee the monthly and annual close process. Monitor time- and project-restricted fund balances. Prepare financial reports for the Board and staff. Analyze financial results and make recommendations to Executive Director. Oversee endowment and quasi endowment funds.
Cash Management - Maintain positive cash flow and available for operations. Monitor cash reserve. Assist Finance and Investment Committee in monitoring and making decisions about investments.
Supervise annual audit and tax reporting -- Schedule audit, assist auditor, work with Audit and Finance Committees to report results to the Board. Write audit end-notes document. Oversee annual tax reporting and preparation of schedules including the 990.
Office and Systems Administration
The Director of Finance and Administration oversees all aspects of Greenbelt Alliance as an ongoing nonprofit business entity. This includes supervising administrative staff, office management, upkeep of computer system, oversight and coordination of personnel matters, and oversight of corporate and legal obligations. Greenbelt Alliance maintains a central San Francisco office, as well as offices in San Jose, Walnut Creek, Santa Rosa and San Rafael.
Manage Administrative staff - Supervise Administrative Manager who oversees reception, staff support, supplies, equipment, meetings, benefits administration, ergonomics, hiring process, and coordination of schedules and office space.
Manage Systems Administration - Supervise Accounting Manager who maintains office cross-platform (Mac-Windows) computer system; hardware, software, network, email, troubleshooting, repairs, consultants and recommendations on purchases. Oversee maintenance of phone system, furniture, and other needed equipment and repairs. Assist the Administrative Manager and program managers in administering office ergonomics program for all employees.
Corporate oversight - Oversee risk management policies. Maintain insurance coverage. Manage office leases. Stay informed about changes in corporate and nonprofit law. Assist Administrative manager with city, state and federal compliance issues, including property tax forms, business licenses, etc.
Advise on lobby and campaign reporting - Working with the Campaigns Director, be familiar with 501(c) (3) lobbying regulations and state FPPC requirements for initiative campaign work. Manage political tracking system and oversee preparation of reports by Administrative Manager. Help train new staff on these regulations. Maintain Greenbelt Alliance's initiative fund.
Oversee internal communications - Encourage effective staff meetings, field trips, and retreats. Coordinate organizational calendar. Encourage effective communication between departments. Ensure that the Board is informed of ongoing activities.
Human Resources and Payroll Administration -- Oversee benefits administration, including health plan, dental, disability, workers comp, 403b, and Flex Plan. Review payroll. Maintain and update personnel files for all employees, and insure that evaluations are done. Oversee Personnel Policy updates. Update, distribute and present orientation packets for new staff members. Assist senior staff in hiring and monitor staff transitions.
Executive and Program Management Teams - The Director of Finance and Administration is a key member of organizational management teams, which meet monthly. They meet weekly with the Executive Director, as well as attending all Board meetings and retreats
